An auto-attendant is a pre-recorded "menu" system that can be used to direct callers to different departments or employees within your company. You can also use this feature to let your callers listen to commonly requested information, such as your business address, hours of operation, and more.
You can use it to streamline your call flow and present your callers with a professional-sounding system. Our auto-attendant feature is highly customizable and can be modified and scaled to meet the needs of nearly any business application.
Our plans include auto-attendants, which you can easily customize through our Hosted PBX interface. Talk to your Easy Office Phone sales representative to learn more about the benefits of using an auto-attendant with your particular plan.
Create "rules" that define your business hours. With this feature, you can easily set the days and times during which callers can reach your staff via phone. You can use Business Hour Rules to create different phone call behaviours based on day and time.
For example, your business might be open from 9 AM to 5 PM, Monday to Thursday, but closed at 3 PM on Friday. In this scenario you could easily use our Business Hour Rules to specify that your hours end early on Friday.
You can use different auto-attendant greetings and options depending on the time of day. For instance, callers who attempt to reach your business after 5 PM could be greeted by a message saying "Thank you for calling, our office is now closed. Please leave a message." This feature is related to Day and Night Modes.
Our Hosted PBX service includes a very powerful but user-friendly web interface that allows you to control virtually every aspect of your service online, at any time, from anywhere. You can control features such as:

When a new voice-mail is left for an employee they can be notified in a number of different ways to make sure they return the call promptly. You can receive voice-mail notification via e-mail, smart phone, cell phone, or laptop. Our service can also send voice-mails as audio attachments in your e-mail box which you can listen to through your speakers.
This feature is tremendously useful for staff who are often out of the office and wish to check messages without having to return to the office or dial in. Please note that some Android devices may require the installation of a WAV player app in order to listen to voice-mail attachments. These apps are free and easy to install; we recommend Remote WAV.
Traditional telephone systems only allow you to receive a limited number of calls based on how many physical telephone lines you have installed at the office. This generally results in customers not being able to get through when all the phone lines are in use, or unused capacity at non-peak hours.
Easy Office Phone is a virtual telephone system and (depending on selected plan) does not limit the number of telephone calls you can receive at once. We are able to offer a combination of plans which allow you to make sure you never miss a call at peak times, while still reducing your costs for unused capacity.
From time to time, as a free (and fun) bonus to customers, Easy Office Phone enjoys offering seasonal or themed hold music channels. For example, we recently gave clients the option to play pleasant, instrumental versions of Christmas carols.
When we add these hold music options, we will announce them via the "News" section of our web interface. Setting up your account to use the track is easy. Just log into our web interface, click Administration and then Preferences, and choose your desired Default Music on Hold from the drop-down list.
The hallmark of a good office telephone solution is a powerful voice-mail system and Easy Office Phone delivers nothing less. Each employee in your organization will have their own mailbox and you can create mailboxes for specific departments or products. Each employee can record their own unavailable greeting and store up to 50 voice-mail messages at a time.
You can further customize your voice-mail boxes with custom greetings. Using our web interface you can set each mailbox to use a unique recording rather than a user's personal greeting. This can be particularly useful for general company mailboxes.
Our service provides for multiple means of accessing and managing your voice-mail messages. You can do so:
• From your VoIP office phone connected to our service
• From an outside telephone line, when you call into your main company number
• Via your smart-phone
A voice-mail notification lets an employee or a group of employees immediately know when a new voice-mail has been left for them. Any compatible phone connected to our service will display a "Message Waiting" indication when a new voice-mail arrives. We also offer more advanced forms of notification, such as Voice-mail to E-mail.
Your users can subscribe to multiple voice-mail boxes which is helpful for staff who are responsible for checking messages for different departments. This setting is easy to change via our web interface.
Online call reports allow you to use a web browser and see a list of what calls have been received or made to your organization. This feature can be used to track who has contacted your company and how long each employee is spending on the telephone.
You can easily search either incoming or outgoing call records, and specify a date range to include in your results. Each call will show date, time, call duration, caller ID of the outside party and, if the call was placed from your office, which extension it was placed from.
With our Hosted PBX, you can have as many phone numbers as you wish. You might need to have local numbers in specific regions where you do business so that your customers do not need to call long-distance to reach your business. As an example, if your business was located in New York, but you had large customer bases on the West coast in California, Oregon and Washington, you could offer local numbers in each of those areas. This has the effect of boosting your local business presence, in addition to the previously mentioned benefit of saving your customers long-distance costs. Your business can have multiple toll-free numbers as well; the flexibility is not limited to local numbers only.
Another application of this feature could be choosing multiple phone numbers for different offices or employees. If your company has multiple services or products, which all require their own unique greetings and call flow, then multiple phone numbers, whether local or toll-free, are precisely what you're looking for.

Easy Office Phone's Hosted PBX service is completely virtual, allowing you to connect multiple offices together as if they were one. This means you can dial employees' extensions directly, as if they were in the same office as you, and it doesn't matter how far the offices are from each other.
You can also have different local phone numbers for each office, which allows you to project a local presence - but customers can still reach employees at any office, no matter which number they dial.
The feature also allows you to have employees working from home, in different regions of the country, or even overseas, with phone numbers local to the employee's area. The virtual nature of Easy Office Phone lets you connect all these offices together so that your company can function as one cohesive entity.
Traditional hardware PBX solutions can be very expensive to purchase and install. Traditional telephone systems required that you invest in an expensive hardware PBX in order to take advantage of its available features, in addition to hiring a technician to physically install and set up the hardware.
With Hosted PBX, hardware costs are much lower. One of the reasons for reduced costs is that the PBX "box," which typically costs thousands of dollars for an on-site PBX, is hosted in the cloud by your service provider. As a result, companies do not have to purchase the on-site PBX system at all.

Employees can work from anywhere with Easy Office Phone such as at home, on their cell phone, at a hotel or another office. Calls can be sent to multiple locations at once giving you the opportunity to pick up the call no matter where you are at the moment.
For instance, you might have your cell phone and office phone ring whenever someone calls your extension or department, and you can answer whichever phone is convenient for you at the time. You can also work from wireless hot spots using your laptop and a headset or install a powerful digital business phone at your home.
There are no limits to how far employees can be from each other. With our solution you could create a virtual office of employees across the country, with all staff able to see who is on the phone and transfer calls to each other as if they were in the same office. Employees can also call each other by dialling the appropriate extension over any distance without incurring long distance charges.
You can use this feature to play different auto-attendant greetings and options depending on the time of day. For instance, if your office closes at 5 PM and a caller dials in after that time, he or she could be greeted by a message saying "Thank you for calling, our office is now closed." If that caller wishes to contact the sales department, they would be told that the sales department is closed and that they should leave a voice-mail message.
An alternative approach would be to have calls sent to different staff depending on the time of day. Some businesses and organizations need to be available 24 hours a day, and day/night modes allow administrators to choose which staff will field calls during regular business hours and which staff will handle after-hours calls. This strategy can provide the best of both worlds, by ensuring you're always available to clients but also that the call volume is shared fairly throughout the day based on "shifts."
This feature is a function of your auto-attendant.
You can use this feature to host a large number of callers in a two-way conference, or also to host information sessions in which callers can join your conference call but can only listen to you make a presentation. As conference administrator you can set a PIN and then distribute it to the participants you expect to join. You can choose either a local or a toll-free conference bridge (note that the per-minute rate for toll-free bridges is $0.06).
Do you have customers in areas that are physically far away from you? If so, and if you want to allow those customers to call you without ever incurring long-distance fees, consider our Toll-Free Service.
Achieve a greater impact with sales calls, product or service demonstrations, or interviews. Communications that require visual contact are an excellent fit for video conferencing. For example, a sales representative demonstrating a new smart-phone to a corporate customer could easily show him/her the benefits of the device, visually and in real time.
Another highly beneficial application of this feature is increased ease of screening prospective new employees. Where in-person meetings are not convenient, or where managers are tasked with hiring staff who will work remotely, video calls offer a superior means of gauging a prospective employee's personality and demeanour.
Potential cost savings make the solution even more attractive. Typical video conferencing solutions are offered on a per-minute basis, and thus can potentially represent significant monthly fees. Easy Office Phone customers, however, can add video capability to their Hosted PBX service for a very affordable, flat-rate monthly fee.
This feature is easy to set up and simply requires a soft phone, microphone and web-cam.
Use direct dial phone numbers for employees who wish to have customers reach them directly, without having to call the company's main phone number. When someone calls this number they will be connected immediately, or get voice-mail if the employee is unavailable.
You could also use direct dial numbers for departmental purposes. If John is the sole sales representative, for example, you could have the "Sales" direct dial number point directly to his extension. With this approach, your customers would be calling a dedicated sales line, which helps to project a larger business image - even if there is only one person who will answer sales calls.
Depending on your plan, direct dial numbers may be included at no additional cost; please speak to your representative or if you require more numbers than are included.
An employee status indicator lets other employees see if a particular person is on the phone or receiving a call. This is particularly useful when you need to know if you should transfer a customer to this person or if you need to find a sales representative who is currently free to take calls. This feature can be used to tell whether a person is on the phone even if they are at home or across the country. Employee indicators are possible with many of our Hosted PBX phones.
Note that you can also use employee indicators to call your co-workers. Each indicator also functions as a speed-dial button. Finally, you can use indicators for the purpose of Directed Call Pickup which allows you to answer another employee's calls if they are unavailable.
Call screening asks callers to say their name before being connected to your extension or department. Before connecting the caller, our service will play back their name, and give your employees the opportunity to accept or reject the call. The caller on the other end is not told what choice was made or even that call screening is in effect; they simply either reach a live person if the call was accepted, or are directed to voice-mail if the call was rejected.
This feature can sometimes be useful for busy staff who are short on time and wish to only selectively answer calls. Alternatively you can use Do not Disturb to manually send callers directly to your voice-mail.
Often employees can be responsible for more than one function within an organization, such as sales and billing. With the caller announcement feature, your employees will see on their phones' display screens the department or option the caller has selected, before they answer the call.
As an example, if a caller dials your main number and then selects the Sales department, your staff would see on their phone displays information similar to the following:
This allows staff to answer with appropriate greeting to the caller such as "Thank you for calling the Sales department, this is John, how may I help you?"
With this feature, you can "park" a phone call in a virtual location, and allow any other extension to pick up the call later. This is particularly useful when you call is for a staff member who is not immediately available.
Here is an example. Assume that your receptionist receives an urgent call for John and knows that John is not available at the moment, but will be soon. Rather than take a message or send the caller to John's voice-mail box, the receptionist can park the call and inform John of the call's virtual "location" when he is available to talk. John can then enter the location code from his own phone and retrieve the call.
Call Park works even if staff are in entirely separate physical locations. You can park a call and your staff member can pick it from their remote office or even from another country. You can easily enable Call Park through our web interface, and using it from your phone is equally straightforward.
